Candidate experience is how applicants perceive a company's hiring process from first contact to final answer. The moments that decide it, and which of them an applicant tracking system can actually improve.

Candidate experience is the sum of how applicants perceive every step of a company's hiring process, from reading the job to receiving the final answer.

It is decided mostly by three things: whether applying was easy, whether the candidate knew what was happening, and whether they got an answer at all.

Software can fix the first and the third and help with the second; the rest is the people running the process.

What shapes candidate experience?

  • The application: how long it takes, whether it works on a phone, whether the resume has to be retyped
  • Acknowledgement: whether the candidate knows the application arrived
  • Waiting: how long each stage takes and whether anyone says why
  • Scheduling: how many emails it takes to agree on an interview time
  • The interview itself: whether it was on time, prepared and respectful
  • The answer: whether a rejection is sent at all, how soon, and from whom

Which parts can an applicant tracking system fix?

The mechanical parts. On ofper, the application form works on a phone and is pre-filled from the resume in the candidate's own browser; every applicant is in a pipeline where an unanswered application is visible to the whole team; interview times are picked by the candidate from a link rather than negotiated by email; and confirmations, reminders and rejections are sent from the company's own mailbox, so replies reach a person. What software cannot fix: a slow decision, an unprepared interviewer, or a company that does not send rejections because nobody made it someone's job.

How do you measure candidate experience?

The honest proxies are in the pipeline data: the share of applicants who received any answer, the days between application and first response, and the days between an interview and the outcome. A short survey sent to rejected candidates measures the rest, and rejected candidates are the ones whose opinion matters, because there are more of them.
