An applicant tracking system is software a company uses to receive job applications, store each candidate's details and resume, and move candidates through the stages of a hiring process such as shortlisting, interviews and offers.

In HR and recruitment the term always refers to the software. Employers use an ATS to run hiring; job seekers meet it as the application form they fill in and the system that stores their resume.

The name describes the job precisely: the system tracks applicants. It records who applied for which role, what they submitted, who reviewed them, which stage they reached, and what the outcome was.

What does an applicant tracking system do?

An applicant tracking system replaces the spreadsheet, the shared inbox and the folder of resumes that hiring otherwise runs on. In practice it does the following.

  • Publishes a job opening and collects applications for it in one place
  • Stores each candidate's name, contact details, resume and answers to screening questions
  • Shows every candidate's current stage on a pipeline, for example Pool, Shortlisted, Round 1, Offered
  • Records who moved a candidate, when, and to which stage, so the history is auditable
  • Schedules interviews and sends the confirmation, reminder, rejection and offer emails
  • Keeps the final outcome of every application, including rejections, rather than deleting them

What is the difference between an ATS and an HRMS?

An ATS handles people who do not work for the company yet: applicants, interviews and offers. An HRMS (Human Resource Management System) handles people who already do: payroll, attendance, leave, and statutory compliance such as PF and ESI in India.

Does an ATS reject resumes automatically?

Usually not. Most applicant tracking systems store, sort and filter applications and leave the decision to a person. The idea that an ATS scores every resume and discards the low scorers describes a small number of enterprise products, not the category.

What an ATS can do automatically is apply the employer's own screening questions. On ofper, an employer can ask up to five yes/no or numeric questions per job and mark some as knockouts; a candidate whose answer fails a knockout is moved to a Screened out stage and kept, never deleted, and receives a rejection email from the company's own mailbox. No resume is scored by the software.

What does ATS mean for a job seeker's resume?

Because an ATS stores the resume and often extracts its text to fill in the candidate's details, the resume has to be readable as text. A PDF or DOCX exported from a word processor is readable. A scanned image of a printed resume is not, and the candidate's details will need to be typed in by hand.
